Printer Support — Frequently Asked Questions
18 quick answers about printer setup, Wi-Fi connection, driver downloads, error-code fixes, and ink & toner for HP, Canon, Epson, Brother and Lexmark.
General
Why does my printer say it is offline when it is turned on?
Almost always a communication issue, not a hardware fault. Your computer is checking the wrong address or port, the printer changed IP address after a router restart, or it fell asleep and dropped off Wi-Fi. Clear the Use Printer Offline setting, restart the printer and router, and reserve a fixed IP address for the printer in your router.
How do I find the right driver for my printer?
Get it only from the manufacturer's own support site: search your exact model number and pick your operating system. Windows 11 and macOS can often print without a vendor driver at all, using their built-in IPP or AirPrint support. Avoid third-party driver download sites.
My printer prints blank pages. What should I check first?
On an inkjet, remove any protective tape, check the ink levels, then run a nozzle check and a cleaning cycle. On a laser, remove the toner cartridge and pull off any shipping seal. If a new cartridge still prints blank, reseat it and run the printer's cleaning or calibration routine.
How often should I update my printer's firmware?
Install updates that fix security or connection problems, usually a few times a year. If you use third-party cartridges on an HP printer, read the update notes first, because some firmware releases have stopped non-HP cartridges from working. Never switch the printer off during an update.
Can I use third-party or refilled ink and toner?
Usually yes. In the US, using third-party supplies does not by itself void the warranty, although damage they cause may not be covered. Some printers show warnings or block non-genuine chips after firmware updates. Buy from reputable sellers and keep the old cartridge until the new one prints well.
Is this an official manufacturer support site?
No. PrinterSupport.io is independent and is not affiliated with HP, Canon, Epson, Brother or any other manufacturer. Our free guides link to each manufacturer's official support site, and we never publish support phone numbers that are not the manufacturer's own.
Setup & Pairing
How do I connect a new printer to Wi-Fi?
Put the printer in Wi-Fi setup mode, join your phone or laptop to the same network (use 2.4 GHz if the printer only supports that band), then run the manufacturer's app or the printer's on-screen Wi-Fi Setup Wizard and enter your Wi-Fi password. Print a test page when it finishes.
How do I connect a printer to my iPhone or iPad?
If the printer supports AirPrint, keep it and the iPhone on the same Wi-Fi network, open what you want to print, tap Share, then Print, and choose the printer. For scanning or printers without AirPrint, install the manufacturer's app, such as HP Smart, Canon PRINT, Epson Smart Panel or Brother Mobile Connect.
How do I add a printer in Windows 11?
Open Settings, then Bluetooth and devices, then Printers and scanners, and select Add device. Wait for the printer to appear and select Add. If it is not listed, choose Add manually and add it by its IP address.
How do I find my printer's IP address?
Print a network configuration page from the printer's setup or network menu, or look in the wireless summary on the printer's screen. You can also find it in your router's list of connected devices, or in Windows under the printer's properties on the Ports tab.
Troubleshooting
What should I try first when my printer stops working?
Read the exact message on the printer and computer, then turn the printer off at the button, wait 30 seconds and turn it back on. Clear the print queue, check paper and ink, and print a test page from the printer itself. That separates printer problems from computer problems.
Why does my printer keep going offline?
It usually gets a new IP address from the router, drops Wi-Fi in sleep mode, or is on a port type that stops answering. Reserve a fixed IP address for it in the router, add it to the computer by that address, and lengthen or turn off the printer's auto power-off timer.
My printer prints but will not scan. Why?
Scanning needs the manufacturer's scan software or a working scan driver, while printing can work with a basic driver. Install the full software package for your model, allow it through the firewall, and make sure the computer and printer are on the same network. Some printers also need scan-to-computer switched on.
Is it worth repairing an old printer?
Rarely for a home inkjet that cost under about $150, where repair often costs more than a new model. Business lasers and higher-end machines are often worth repairing. Many problems that look like hardware faults are really software, driver or Wi-Fi issues that can be fixed remotely.
Security & Privacy
How can I tell a fake printer support number?
Real manufacturers do not cold-call you, show pop-up warnings with a phone number, or ask for gift cards, crypto or remote access to fix a virus. Find support only through the manufacturer's official website. If you already gave access or payment to a caller, disconnect, change your passwords and report it at reportfraud.ftc.gov.
Is my printer a security risk?
It can be if it still uses a default admin password, runs old firmware or is reachable from the internet. Set an admin password on the printer's web page, install firmware updates, turn off services you do not use, and keep it on your private network, not a guest network open to strangers.
